Steps to Configure your Zoho Account as POP in Outlook

  1. From the Settings menu in your Zoho mailbox, select POP/ IMAP and Email forwarding and choose Enable POP.
  2. Launch the Outlook application and open the Tools menu. 
  3. Select Account Settings, then choose Email Accounts and click Email.
  4. Click New to open the Add new email account window.
  5. Select Manually configure Server settings or Additional Server Types, and click Next.
  6. Select Internet Email in the window that appears and click Next
  7. Enter the following information:
    1. User Information
      • Your Name: Your preferred display name
      • E-mail Address: Your Zoho email address
    2. Account Type: Select POP3
    3. Server Information for Organization users:
      • Incoming mail server: poppro.zoho.com
      • Outgoing mail server: smtp.zoho.com
      • Username: you@yourdomain.com (Your domain-specific email hosted by Zoho)
      • Password: Your Zoho account password. 
    4. Server Information for Personal users:
      • Incoming mail server: pop.zoho.com
      • Outgoing mail server: smtp.zoho.com
      • Username: you@zoho.com
      • Password: Your Zoho account password.
    Note:
    You may need to provide an Application-specific Password if your account uses Two-Factor Authentication.
  8. Select Remember Password
  9.  Click More Settings, for advanced configuration details. Select Outgoing Server from the dialog box that appears.
    1. Select My outgoing server (SMTP) requires authentication
    2. Select the option Use same settings as my Incoming server
    Note:
    If the above option is not set, you may get an Authentication Required or Relaying Disallowed error. The Relaying Disallowed error might also occur when the email address provided is incorrect and does not match the email address set up for the account, whose credentials are provided in the email client.
  10.  Select Advanced to specify the port details for the POP and SMTP servers.
    1. Incoming Server (POP3): 995
    2. Select This server requires an encrypted connection (SSL)
    3. Outgoing Server (SMTP): 465
    4. Select SSL from the drop down for encrypted connection
    5. Select Leave a copy of messages on the server if you prefer to keep messages in Zoho Mail also. Refer to the 'POP Delete settings' guide for more information on deletion behavior in Zoho Mail.
    6. Click Ok to save the settings and exit to the Add new email account window.
  11. Select Test Account Settings to check the settings for incoming and outgoing servers. Make sure you have a working internet connection and that permissions are set to allow Outlook to access the internet.
  12. Once the tests are successfully completed, Outlook will display the dialog below.
  13. Select Close and Finish to save the configurations and exit.
